About the role

We blend, bottle, and can distilled spirits and ready-to-drink cocktails for the biggest beverage-alcohol brands in the world, names you'd recognize from any back bar. We're a licensed distilled spirits plant and an FDA food processing site, so our paperwork is as much the product as what goes in the bottle.

Every batch makes records. So does every pallet that comes in and every truck that goes out: batch production records, receiving paperwork, bills of lading, certificates of analysis, lab logs. This job owns them. Writing the procedures is a separate job here; you own the records those procedures produce, and the standard is complete, correct, filed, and findable. Nothing missing, nothing unsigned, nothing lost. When a brand auditor or a state inspector asks for a lot from eight months ago, you're the one who puts a hand on it in minutes. The role sits in Quality, and you'll report to the executive team to start.

  • Close out the batch records. Every entry, initial, signature, weight, and time, checked against what the record asks for. Where something's missing you go back to the production lead who ran it and get it fixed before the record closes. Some days that's most of the job.
  • Check the paperwork against the truck. Inbound bills of lading, packing slips, and certificates of analysis on what we receive. Outbound shipping documents against the order and against what inventory says we have. Anything that doesn't line up gets flagged that day.
  • Send the customer their packet. Assemble and proofread the documentation that goes out with a finished run, and send it the day the run finishes. These go to the brand's quality group, and they read them.
  • Scan it, index it, file it. Every production, receiving, and shipping record, in both the paper files and the digital ones, in an order somebody else could follow. You'll also pull records for brand audits, for TTB and TABC recordkeeping, and for the monthly operations numbers.
  • Keep the lab's records straight. Sample logs, the retain-sample library, proofing worksheets, calibration logs, cleaning logs. Samples get labeled and logged so anyone can match one back to its lot a year from now.
  • Hold the floor to good documentation practice. No blanks, no pencil, single-line corrections, dated initials. Nobody loves being stopped in the middle of a run. You'll be doing it anyway.

What it takes

  • Two years or more in document control, records, QA paperwork, or another job where getting the details right was the work itself.
  • You notice the missing initial on page four, and you don't let it slide.
  • You'll go back to someone who's busy and doesn't want to stop, ask them to fix a record, and stay pleasant about it. Then you follow up, because the first ask doesn't always land.
  • Comfortable with spreadsheets, a scanner, shared drives, and writing a clear email. We'll teach you our systems; you should pick up a new one fast.
  • You can read a written procedure, follow it exactly, and say so when it doesn't match what the floor actually does.
  • Afternoons, Monday through Friday, roughly 1:00 to 6:00 to start, with some give on the exact hours. Reliable transportation.
  • Based in the lab and the office, with regular time out on the production floor. Sitting and standing for long stretches, close-focus work on a screen and a scanner, and occasionally lifting up to 25 pounds.

You don't need to have done this in a plant. If you've kept the records for a pharmacy counter, run the files in a clinic or a title office, handled supply paperwork in the military, or closed out tickets for a shop where a missed signature came back on you, we want to hear from you.

Helps, but not required: food, beverage, or spirits manufacturing · GMPs or HACCP · sitting through an audit, customer or TTB or FDA or ISO · Spanish · a reputation as a stickler.

This is the wrong job if: you'd rather file what you're handed than go find the person who left a box blank and ask them to fix it.

Compensation

$22 to $26 per hour depending on experience. Part-time to start, about 20 to 25 hours a week, on-site in Fort Worth. We put this job on afternoons so the morning's paperwork gets reviewed the same day it's written, and so there's a second set of careful eyes in the lab while the evening shift runs. It's a schedule that works alongside classes, caregiving, or another job. We're growing quickly and the hours in this seat may grow with us.
