Chief of Staff/Executive Assistant

About the role
As the Executive Assistant to the CEO, you will be responsible for managing a high volume of emails and calls, preparing for meetings, coordinating customer on-site visits, and ensuring seamless communication across teams at Very Good.
This role requires exceptional attention to detail, strong project management capabilities, and the ability to prioritize competing demands in a fast-paced environment. As a trusted partner to the CEO, you will play a critical role in maximizing productivity and enabling the CEO to focus on strategic priorities. Our ideal candidate for this role is a master of organization, a skilled communicator, and always ten steps ahead.

Key responsibilities
Scheduling and Time Management
- Calendar Management: Proactively manage and prioritize the CEO’s daily schedule, coordinating calls, meetings, and site visits.
- Meeting Preparation: Ensure the CEO is always fully prepared for meetings, providing background information, briefing notes, and agendas in advance.
- Task Prioritization: Develop an excellent understanding of priorities, and accept/decline/coordinate as required. Anticipate upcoming high priority tasks, and communicate proactively across teams to ensure deliverables are on schedule.
Administrative Support
- Correspondence: Manage incoming and outgoing communications (emails, calls, mail) on behalf of the CEO, prioritizing urgent matters and ensuring timely responses.
- Document Preparation: Prepare, edit, and proofread reports, presentations, and correspondence to ensure accuracy and professionalism.
- Travel Arrangements: Coordinate detailed travel itineraries, including booking flights, accommodations, and ground transportation, and managing any changes or disruptions effectively.
Meeting Coordination and Follow-Up
- Meeting Agendas: Prepare meeting agendas, take minutes, and ensure follow-up on action items. Organize materials and presentations needed for key internal and external meetings.
- Logistics: Coordinate all logistics for meetings and site visits.
- Follow-Up: Track and follow up on deliverables from the CEO’s meetings, ensuring commitments are met and progress is communicated.
Information Management
- File Management: Maintain organized and up-to-date filing systems (both digital and physical), ensuring documents are easy to retrieve and properly categorized.
- Data Integrity: Ensure the accuracy and organization of key company information and executive records, handling confidential information with the utmost discretion.
Operational and Project Support
- Project Assistance: Provide administrative support on special projects and initiatives led by the CEO, coordinating with internal and external stakeholders as needed.
- Event Planning: Assist in the planning and execution of company-wide events, executive meetings, and site visits involving the CEO.
- Research and Reports: Conduct research and compile data for reports or presentations to support the CEO’s decision-making processes.
Gatekeeping
- Gatekeeper: Act as the primary point of contact for the CEO, screening and prioritizing communications and meeting requests.
- Stakeholder Relations: Manage relationships with key internal and external stakeholders, ensuring clear and consistent communication on behalf of the CEO.
About you
Experience and Education
- 3+ years of experience as an Executive Assistant supporting a C-level executive, with a proven track record of exceptional organizational skills.
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
Skills
- Proficiency in Microsoft (Word, Excel, OneDrive, SharePoint, Teams), G-Suite, and scheduling tools (e.g., Google Calendar, Microsoft Teams, Calendly).
- Outstanding organizational and time management skills, with the ability to handle multiple tasks, prioritize effectively, and meet deadlines.
- Excellent verbal and written communication skills, with the ability to create professional presentations and correspondence.
- Ability to anticipate issues before they arise and proactively offer solutions, ensuring seamless operations.
- Ability to understand, learn quickly, and take over various tasks by pattern matching.
